What You Will Do
Join the Environment and Waste Programs office (EWP) responsible for defining and implementing strategic and programmatic business practices across the Los Alamos National Laboratory missions from within the ESHQSS Directorate. The office is responsible for all environmental and waste management program, permits, and serves as the Designated Official for environmental and waste programs for Triad. Additionally, EWP is responsible for implementing traditional programmatic planning and implementation of standard business practices to all environmental and waste programs using resources that are the responsibility of the Associate Laboratory Director for Environment, Safety and Health, Quality and Safeguards and Security (ALDESHQSS).
As a Professional Staff Assistant, you will provide expert-level administrative support and interact daily with the Senior Director for Environment and Waste Programs, Associate Laboratory Director and staff, Division Leaders, and staff members including internal Laboratory customers. Additionally, this position will provide PSA support to the LANL Medical Director and the ALDESHQSS Integration Office. Under established supervision, you will assume responsibility for demonstrating accuracy, attention to detail, initiative, versatility, tact, and confidentiality in all matters. The Professional Staff Assistant must be an organized, motivated performer capable of quickly changing focus, acting independently, and comfortable with a broadly defined scope of work. Critical thinking and follow through, along with excellent oral and written communication and customer service skills, are a necessity for this role.
In addition to the duties listed above the selected candidate will review and extract action items from the Senior Directors email, organize and prioritize notes and contribute to the various process improvement initiatives at both the Directorate and Division levels. Additional administrative tasks as assigned by Medical Director and Integration Office. The position requires the ability to conduct research, assemble data and provide solutions and/or recommendations. The Professional Staff Assistant 2 will schedule and facilitate meetings, track action items and maintain electronic files and records. You will be expected to perform under minimal supervision, serve as a resource and provide input and guidance on changes in support of business needs.

Professional Level Administrative Support:
Experience providing executive-level administrative assistance and office management.
Ability to take initiative and ownership of multiple and conflicting complex issues in a manner that fosters institutional values and customer satisfaction.
Ability to work independently and collaboratively in support of the team/mission. Willingness to provide support wherever needed in a fast-paced customer service oriented office.
Demonstrated written and oral communication skills and a record of dealing effectively with conflict. Demonstrated professionalism and ability to interact effectively with all levels of internal and external customers, including networking with senior personnel and stakeholders.
Experience and understanding of administrative and business systems; including MS Office Suite (Word, Excel, PowerPoint), Outlook, Oracle Time & Labor, Concur for domestic travel and SharePoint.
Organization and Scheduling:
Ability to organize, prioritize, and follow-through to completion on multiple tasks, under strict deadlines and changing priorities. Ability to provide administrative support and facilitation for multiple schedules, including maintaining calendars and organizing meetings.
Data Management and Reports:
Ability to collect, assemble, and prepare data for specialized reports and presentations. Skill and experience in the preparation of reports, including specialized reports related to the assigned areas functions.
Business Process Improvement:
Ability to identify and analyze opportunities for improvement and develop solutions that innovate business processes and practices to ensure customer satisfaction.
Education: Position requires a Bachelor’s Degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.
Knowledge of LANL organizational structures, policies, practices, and procedures
Intermediate to advanced experience with Microsoft Suite including Teams, Excel, Word, PowerPoint and Visio
Intermediate to advanced experience using Google Drive, and SharePoint
Active Department of Energy (DOE) “Q” Clearance
Location: This position will be located in Los Alamos, NM.

Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements
for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.
Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
