What You Will Do
M Division is seeking a group office Administrative Assistant 4. The AA-4 will work with and support a diverse group of scientists, engineers, technologists, and technicians who perform a variety of explosives and shock physics -related projects and activities for both internal and external customers. The successful candidate will be expected to use judgment, initiative, tact and prioritization skills to effectively manage routine and contingency tasks and meet deadlines.
This position requires initiative, professionalism, dependability, attention to detail, flexibility, and the ability to learn new skills on a regular basis. The job requires close cooperation, adaptability, a strong customer focus, and willingness to provide support where needed. The administrative assistant will be expected to respond to requests by following procedures, doing research, collaborating with other professionals, and maintaining a professional office atmosphere while requiring minimal supervision, demonstrating initiative, and exercising discretion in confidential and sensitive matters.
The group office Administrative Assistant will occasionally be requested to professionally represent and support other groups in M Division, as well the M Division Office when needed.
Specific duties of the position include but are not limited to the following:
Serve as the professional representative and primary interface for the group, answering and directing telephone calls, greeting visitors and customers, composing and editing correspondence, and organizing meetings and visits.
Maintain office files, logs and databases, and records, including tracking action items, in a fashion conducive to supporting requests for historical information or providing relevant records for internal and external audits.
Manage multiple personnel and resource calendars, independently determining scheduling priorities.
Arrange foreign and domestic travel.
Coordinate meeting/conference scheduling and announcement logistics including badging and clearance transfers as appropriate with internal and external attendees.
Serve as a timekeeper to record, report, and verify time and labor.
Be a Designated Procurement Representative for both PCard (credit card) and RRB (Rapid Release Blanket) type procurements.
Perform access control duties for facilities where high explosives operations occur.
Handle sensitive information and/or classified matter
What You Need
Minimum Job Requirements:
Professional-level experience and proven competence in administrative support and office operations.
Proven competence in the use of business systems including MS Office Suite (Word, Excel, PowerPoint), Concur, Oracle, Outlook, and/or SharePoint.
Demonstrated excellent interpersonal, verbal and written communication skills and demonstrated ability to interact with all levels of managers, external contacts, visitors, customers and employees.
Proven ability to work well in a team environment; strong customer service and teaming skills.
Proven capacity to take initiative; organize and prioritize tasks; and assume responsibility for administrative projects from inception to completion. Demonstrated ability to act independently with minimal supervision.
Demonstrated experience following multiple tasks to completion with minimal rework under pressure of deadlines, frequent interruptions, and changing priorities.
Demonstrated record of dependability and reliability; attendance and punctuality are critical.
Excellent attention to detail, with focus on accuracy, consistency, and thoroughness.
Knowledge of Laboratory structure and administrative policies and procedures.
Proven competence in the use of LANL-specific applications built on standardized business systems including AccessIT, Concur, Oracle, Outlook, PDMLink, and/or Sharepoint.
Experience working in a secure environment with sensitive information and/or classified matter.
Document control and records management experience.
Active Q clearance
Education: Position typically requires five or more years of related experience, or an equivalent combination of education and experience. At this level, additional training, certification, and/or education may be expected.
Essential Job Functions: Walking, Climbing stairs, operation of motor vehicles.

Located in northern New Mexico, Los Alamos National Laboratory (LANL) is a multidisciplinary research institution engaged in strategic science on behalf of national security. LANL enhances national security by ensuring the safety and reliability of the U.S. nuclear stockpile, developing technologies to reduce threats from weapons of mass destruction, and solving problems related to energy, environment, infrastructure, health, and global security concerns.
Explosive Science and Shock Physics (M) Division is responsible for current and evolving explosive science and shock physics efforts. We support National Security through the invention and application of energetic materials (EM) and application of our static and dynamic compression science capability for understanding material response at extreme conditions to address conventional, nuclear, and homeland defense needs. The Division has a diverse portfolio of research, development, and application projects involving the dynamic properties of inert and reactive weapons materials including the physics of shock waves in inert and energetic materials, the molecular synthesis of novel energetic materials, the formulation of EM into engineered materials, the shock initiation and detonation physics of explosives, the response of explosives to various stimuli including electrical, chemical, mechanical, thermal, impact, shock and laser interactions, the development and small-scale application of unique energetic materials, and the diverse application of high-explosive driven pulsed-power (HEPP) systems. M Division has three groups, M-6 Explosive Applications and Special Projects, M-7 High Explosives Science and Technology, and M-9 Shock and Detonation Physics.
