What You Will Do
The Science Program Office – Office of Science (SPO-SC) is seeking a high-level, experienced, interactive, customer-focused Administrative Assistant 4 to provide administrative support for the program needs of SPO-SC.
The position will perform complex administrative and office-related functions and activities requiring considerable judgment, high degree of initiative, independent action, and discretion. The successful candidate must demonstrate the ability to adhere to timeliness, ability to meet deadlines, flexibility, while maintaining a professional atmosphere under pressure. The successful candidate will report to the SPO-SC Program Director and the Technical Project Manager. Additional responsibilities include interfacing with the Associate Lab Directorate Physical Sciences (ALDPS) team on administrative issues. The successful candidate will serve as the first point of contact for SPO-SC.
Duties may include, but are not necessarily limited to:
Generating internal and external correspondence.
Maintaining electronic and hardcopy files.
Interacting with a wide range of customers and stakeholders; all levels, internal, external and cross-organizationally.
Supporting SPO-SC program development activities, including prompt distribution of DOE-SC funding opportunities notification and assist in proposal preparation.
Maintaining SPO-SC internal and external web pages.
Coordinating calendars, schedules, meeting logistics for SPO-SC.
Serve as a designated procurement representative and perform purchasing via Ariba and Pcard.
What You Need
Minimum Job Requirements:
Demonstrated and professional-level experience and proven competence in administrative support with particular experience in organizing and prioritizing tasks in a fast-paced environment.
Demonstrated proficiency in administrative skills, including word processing; editing documents with significant responsibility for content, proofreading, grammar, spelling, punctuation, consistency, accuracy, clarity and syntax; attention to detail and format; filing and record keeping.
Demonstrated experience working successfully both independently and in a team-based environment; interacting with all levels of managers, support staff, and internal and external customers.
Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.
Excellent verbal (telephone/face-to-face) and written communication skills.
Must have an excellent record of dependability, availability, attendance and punctuality.
Ability to accept and perform new responsibilities as the need arises.
Proficiency in the use of standard office software, such as Microsoft Word, Excel, Outlook, and PowerPoint.
Ability to obtain a DOE Q security clearance; which typically requires US citizenship.
Education/Experience :Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Experience in the use of Lab-wide systems including: Oracle, Time and Labor, CMS, UTrain, etc.
Willingness and ability to obtain and use Purchase Card for Program Office; experience with Ariba; ability to serve as Designated Procurement Representative (DPR).
Knowledge of Laboratory structure and administrative policies and procedures.
Location: This position will be physically located in Los Alamos, NM.

Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements
for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.
Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
