What You Will Do

The selected candidate for this position will support theOffice of National Security & International Studies (NSIS). This position will provideday-to-day administrative support to NSIS office staff with direction and guidance from the Technical Project Manager.

Job responsibilities for this position include, but are not limited to:

  • Execute complex administrative and office-related functions and activities requiring sound judgement;

  • Utilize a high degree of initiative;

  • Maintain independent action and professional discretion;

  • Assist with complex logistics for high-level meetings/visits/events, including badging and clearance transfers as appropriate for internal and external participants;

  • Coordinate domestic and foreign travel arrangements and reimbursements;

  • Generate internal and external correspondence;

  • Order supplies and assistwith purchasing and purchase requests;

  • Maintain electronic and hardcopy files; and

  • Serve as a resource regarding established institutional administrative policies and procedures.

What You Need

Minimum Job Requirements:

  • Extensive experience and proven competence in providing high-level administrative support, including interfacing with all levels of internal and external personnel and customers with strong customer service and teaming skills and willingness to provide support where necessary.

  • Advanced computer skills in MS Office Suite (Word, Excel, PowerPoint), Outlook, and demonstrated knowledge of Lab-wide systems (Oracle, Time and Labor, FVTS, Concur, Procurement, Human Resources, and UTrain).

  • Demonstrated ability to effectively coordinate high-level events including badging and clearance transfers.

  • Demonstrated ability to work independently with frequent interruptions, multiple deadlines, and changing priorities.

  • Proven ability to take initiative, organize and prioritize tasks, and assume responsibility for administrative projects from inception to completion withwith focus on accuracy, consistency, and thoroughness;

  • Excellent record of dependability, availability, and punctuality;

  • Active DOE Q Clearance.

Desired Skills:

  • Experience working in a secure environment with sensitive information.

  • Ability to serve as a Designated Procurement Representative (DPR).

  • Demonstrated experience and extensive knowledge of the Laboratory’s business systems, e.g., Time & Labor, Foreign Travel, Concur, FVTS, Procurement, Oracle HR, UTrain.

Education:Position typically requires five or more years of related experience, or an equivalent combination of education and experience.

Clearance: Q(Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements* for access to classified matter.

Where You Will Work

Located in northern New Mexico, Los Alamos National Laboratory (LANL) is a multidisciplinary research institution engaged in strategic science on behalf of national security. LANL enhances national security by ensuring the safety and reliability of the U.S. nuclear stockpile, developing technologies to reduce threats from weapons of mass destruction, and solving problems related to energy, environment, infrastructure, health, and global security concerns.

The Office of the National Security and International Studies (NSIS) is responsible for providing national security and technology policy analysis relevant to the Laboratory’s missions. In its work, the NSIS is part office, part research center and part network. Working with the weapons, global security and science program directorates, the office monitors the national and international security environment, as well as technology and policy developments, and engages relevant organizations, such as the Department of Energy, Department of Defense, Department of State, as well as the academic and policy communities and appropriate international and non-governmental.
