What You Will Do

The Administrative Assistant 3 is responsible for providing administrative support within the Environmental Stewardship Group in the Environmental Protection and Compliance Division in the Associate Directorate for Environment, Safety and Health (ADESH). The office administrator must work cooperatively with all staff, students, affiliates, visitors and guests. The candidate must have the ability to function in a confidential and discrete manner, and demonstrate the ability to adhere to timeliness, flexibility, and adaptability, as well as maintain a professional atmosphere under pressure and meeting numerous deadlines. Serve as a resource to interpret and provide information regarding organizational policies and procedures and be familiar with Laboratory administrative policies. Some of the responsibilities may include, but not be limited to: composing, editing, and proofreading routine and non‐routine correspondence, processing material purchases, calendar management, answering phones, verifying and tracking time and labor, making travel arrangements, processing visitor paperwork, creating and maintaining office files and records.

What You Need

Minimum Job Requirements:

  • Advanced knowledge, experience, and competence in secretarial and administrative tasks.

  • Demonstrated experience working calmly and effectively under pressure of deadlines, interruptions, and changing priorities.

  • Excellent oral and written communication skills, including proofreading for grammar, spelling, and accuracy.

  • Proven experience organizing, prioritizing, and following through to completion assigned tasks prior to the deadline and with high attention to accuracy and detail. Able to work effectively in a team environment and interact with all levels of internal and external customers.

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

  • Demonstrated knowledge and experience with purchasing and procurement request processing.

Desired Skills:

  • Familiarity with Los Alamos National Laboratory (LANL) organization structure, administrative policies, procedures, and correspondence processes.

  • Experience with records management.

  • Proficiency in LANL business systems; Oracle (time, labor, and purchasing), Concur (travel), and LANL invoice system/procurements.

Education:Two to four years related experience or an equivalent combination of education and experience. At this level, additional training, certification, and/or education may be desirable.

Located in northern New Mexico, Los Alamos National Laboratory (LANL) is a multidisciplinary research institution engaged in strategic science on behalf of national security. LANL enhances national security by ensuring the safety and reliability of the U.S. nuclear stockpile, developing technologies to reduce threats from weapons of mass destruction, and solving problems related to energy, environment, infrastructure, health, and global security concerns.

This position is located in the Environmental Protection and Compliance Division, Environmental Stewardship group in White Rock, New Mexico. This group provides stewardship services for biological and cultural resources management, integrated project review, Pollution Prevention, environmental management system, environmental health physics, soil, foodstuffs and biota monitoring, and the National Environmental Policy Act. This is a diverse and dynamic group and this position will support these different programs on a regular basis, including procurement and organization of correspondence with internal and external stakeholders.
